Each group must have a lead point of contact for the event. In most cases, we request one lead volunteer per 15 volunteers in the group. These representatives will attend planning meeting, and may be required to meet on site with Parks staff prior to the event.  

About Your Group

Projects are planned for groups of 10 to 20. It is unlikely that any group any larger than 30 will be assigned to one location. If a corporation anticipates more than 30 volunteers, groups will likely be paired with projects in different locations within larger parks or different parks locations. When we break groups out into different locations, we make every effort to do so within the same district or region.

Scheduling

Scheduling and preparing for group projects takes thoughtful consideration, time and we dedicate resources to ensuring the best experience & most effective impact possible for the volunteer and for work completed. When groups register and commit to a group based service event, we move forward with the intention to get a project confirmed within a timely manner. Please consider the following information when registering your group: 

  • Due to the demands of maintenance routines, coordinating logistics of staging materials and staffing constraints we schedule group based projects on Tuesdays, Wednesdays & Thursdays.  
  • When possible, we like to confirm a rain date for the following day, or an alternate date. 
  • We plan projects for the number of volunteers each group commits to. Any changes in numbers must be communicated at least one week in advance to realign project logistics or modify locations. 
  • Projects are typically scheduled from 9am - 12pm. This gives time for the teams to stage the project materials & equipment prior to and wrap up by the end of their work day, which is either 2:30pm or 3pm.
  • Best practice is to allow for at least 4 weeks to plan and recruit volunteers.


Recruitment

All participants must register for the service project via a digital link. This registration includes details on the project as well as a required liability waiver for the City of Cincinnati. A deadline is set to ensure the committed number of volunteers, and so that all volunteers receive the information for the project. In some cases, we may need to tweak project scope, or reschedule if the number of required volunteers has not been met. Parks volunteer coordinator will provide a list of all registered volunteers on the deadline.

Commitment Agreement

Cincinnati Parks is asking for your partnership in support of the annual event that is vital to our operations. Corporate partners will commit to thorough communication and participation with the event.

Digital liability waiver & registration is required and will be submitted prior to the project by the determined deadline. All participants must register via the digital waiver before participating in any volunteer work. Project assignments will be determined by number of anticipated volunteers.

Cincinnati Parks will work to match your group with a project that is suitable for your corporation. However, due to a variety of logistics and circumstances, we request and appreciate flexibility from our partners. This agreement does not guarantee your group a project.

The group has permission from its corporation to sign this agreement, the volunteer waiver, and participate in a volunteer project.

Cincinnati Parks reserves the right to cancel a project or add, change or alter scope of work depending on but not limited to change in volunteer numbers, staffing levels, unexpected needs or repairs, available resources, changes in funding and the weather.
